One-Time Diagnostic

Operations & Systems Assessment

Understand what’s making the day-to-day harder and what to fix first.

Work keeps getting repeated. Information lives in too many places. A process that worked when the business was smaller is getting harder to manage.

You know something needs attention, but you’re not sure where the real issue starts or which change would help most.

The Operations & Systems Assessment takes a closer look at one defined area of your operations. You’ll leave with clear findings and a prioritized action plan, so you can make informed decisions about what happens next.

Understand the problem

Get a clearer picture before investing in another fix.

When something isn’t working, it’s easy to focus on the most visible symptom.

But a missed handoff might start with unclear responsibilities. Repeated data entry might come from a disconnected workflow. A tool that seems inadequate might simply need a better setup.

I review how the work actually happens, including the people, processes, and systems involved, to understand what’s contributing to the problem.

That gives you a better basis for deciding what to change, what to keep, and where to spend your time and money.

“You can’t automate what you haven’t defined.”

Who this is for

Is this where you are?

This assessment may be a good fit if:

The same issue keeps returning, even after you’ve tried to address it.

Information or work gets lost between people, steps, or systems.

A process relies heavily on one person remembering what happens next.

Your team has developed workarounds, but you’re unsure what needs to change.

You’re considering new software, AI, or automation and want to understand the need first.

You don’t need to arrive with the answer. You do need an area we can define and examine closely.

The scope

A focused review of one operational area

Before work begins, I’ll confirm the specific process, workflow, or operational area the assessment covers.

For example, we might examine how a new client moves from signed agreement to project kickoff, or how requests reach your team and get assigned.

Depending on the scope, I may review:

  • How work moves through the process.
  • Responsibilities, handoffs, and decision points.
  • Where information lives and how it moves.
  • How your current systems support the work.
  • Relevant documentation, workarounds, and exceptions.

The scope identifies what I’ll review, what information I’ll need, and what falls outside the engagement. This keeps the assessment focused enough to produce useful recommendations.

What you’ll receive

Your Assessment Findings & Action Plan

A written report you can return to, share with your team, and use to guide the next steps.

A clear summary of what I reviewed

The agreed scope, the main conclusions, and any limits or unanswered questions that affect the findings.

A picture of how the work happens today

The important steps, responsibilities, and systems involved, including what’s already working well.

Key findings and why they matter

The issues I identified, the evidence behind them, their impact, and likely contributing causes.

A prioritized action plan

Recommendations organized into Now, Next, and Later, with an explanation of what deserves attention first. You’ll be able to distinguish smaller improvements from work that needs more planning or investment.

Guidance on systems and automation

Where it makes sense to simplify, clarify ownership, improve documentation, or use existing tools more effectively. If a system change, AI, or automation is worth considering, I’ll explain why and what needs to be in place first.

A practical path forward

Guidance on what your team may be able to handle internally and where additional expertise or separately scoped implementation could help.

A live walkthrough of the findings

I’ll walk you through the report, explain the recommendations, and answer your questions.

You can request a recording of the readout to revisit afterward or share with your team.

The process

How it works

1. Start with a free Intro Call

We’ll discuss what’s prompting you to seek help and whether an assessment fits your situation.

The Intro Call is a fit conversation. The detailed investigation happens during the paid assessment.

2. Confirm the scope and project details

Before you commit, you’ll receive a proposal defining the area I’ll assess, required inputs, deliverables, fixed fee, and timeline.

3. Walk through the current process

After the engagement is confirmed, I’ll gather the agreed information and meet with you to understand how the work happens today.

4. Review and analyze

I’ll examine the relevant workflows, systems, and supporting information, then develop the findings and recommended priorities.

If something outside the agreed scope emerges, I’ll flag it and explain whether it affects the assessment or needs separate investigation.

5. Review your findings and action plan

You’ll receive the written report and a live readout, with time to discuss the recommendations and next steps.

Plan your engagement

Timeline and investment

Approximately two weeks

Plan for approximately two weeks from kickoff, provided the agreed information and access are available. The confirmed schedule will be included in your proposal. Timing depends on the complexity of the area being reviewed and the availability of the people and information involved.

A fixed fee, confirmed upfront

Each assessment is quoted as a fixed-fee project after scope confirmation. The quote reflects the depth of review required, including the systems involved and the conversations needed. You’ll know the fee and what it covers before work begins.

Why OpsLucent

An experienced operations perspective

My background spans more than 15 years across business operations, systems, entrepreneurship, and financial services.

I’ve worked with the day-to-day realities behind process changes and systems implementation: how information moves, who makes decisions, what people need to do their work, and what happens when the expected process doesn’t match reality.

That experience shapes how I assess a business. I look at how the pieces work together and recommend changes that fit the work and the people doing it.

After the assessment

What happens next?

The assessment includes investigation and recommendations. Implementation is a separate engagement.

You may take the action plan forward yourself, assign it to your team, or work with another provider.

If you’d like my help implementing a defined improvement, I can scope that separately. You don’t need to commit to additional OpsLucent services to receive or use your assessment.

Quick wins are included as recommendations. System configuration, workflow changes, SOP development, and automation builds are implementation work.

Choose the support that fits

Is this the right starting point?

One question or decision?

An Ops Advisory Session may be enough. It provides focused advice based on the situation and information you bring.
